Recording Auto-Attendant Messages

To record new auto-attendant messages,

  1. Pick up your handset.
  2. Dial *77.
  3. You will hear a beep. This means the recording has started and is your cue to begin speaking.
  4. When you are finished speaking, dial #.
  5. You may then follow the prompts to review your message, or simply hangup if you are satisfied.
  6. Inform Ringfree staff, via phone or at, the extension number of the phone you used to make the recording, and which message you would like it to be or replace, so that our staff may retrieve your recording and put it in play. Only one recording can sit at an extension at a time. For multiple recordings, you will either need to record each message at a different extension, or advise me when each is done and I will pull it off the extension you make the recording on, then you can proceed to the next recording.

Call Forwarding

To Forward Calls / De-activate Call Forwarding

There are two basic ways to forward calls:

The first way

From the phone you want forwarded, enter *72 and then the number to forward to, and hit Send.

For example, dialing *728285551212 will forward all calls on that extension to the number (828) 555-1212.

To deactivate call forwarding, dial *73 on that extension and hit send, you will receive a “Forward Deactivated” message letting you know calls are no longer forwarded.

You can set a forward for someone else’s phone from your phone by dialing *72, hitting Send, and waiting for the prompts which will ask you which extension you would like to forward, and to which number.

The second way

The second way to set a forward involves accessing the PBX user control panel and utilizing the Follow Me features. You can access the PBX user control panel at https://[yourclientID]

Login: will be the extension number.
Password: is the voicemail password for that extension.

Once logged in, click Follow Me on the left hand side. You may then enter the extension, cell phone, or landline to ring in the Follow Me list. Select how many seconds you would like the original extension to ring first before ringing the other extensions. Make sure to check the Enable button, and then Update to save the changes. The Follow Me can be disabled by unchecking the Enable button and clicking Update.

You may forward a call directly to an extension’s voicemail by pressing Transfer, then *, and the extension.

Remote Call Pickup

Remote Call Pickup is when a user at one extension picks up a call intended for another extension. This feature is useful in situations where users are occupied or away from their workstations.


To perform a Remote Call Pickup, do the following:

  1. While the phone is ringing at the intended extension, pick up your phone.
  2. Dial ** and then the extension at which the phone is ringing.
  3. Optionally press the Send key.

One issue you should be aware of is Polycom phones require a brief delay between the first and second presses of the * key. Pressing the ** in rapid succession on Polycom phones is interpreted as a + sign. Waiting about a second after the first press of the * key is sufficient.

Call Parking

Call Parking is a feature that allows a user to essentially place a call on hold using a temporary extension so that or another user can retrieve the call at a later time.

On Polycom phones:

On Yealink phones:

To park and retrieve a call:

  1. While on a call, perform an attended transfer to extension 70.
  2. The phone system will tell you the number of the temporary extension where the call will be parked.
  3. Press the Transfer key a second time to complete parking the call.
  4. You or another user may retrieve the call by dialing the temporary extension and pressing the Send key.

Change The Default Transfer Method

On most Polycom desk phones, the default transfer method is configurable via options in the Settings menu. On these phones, the transfer method options are Consultative which is Polycom’s way of saying an Attended Transfer, and Blind.


To change the default transfer method:

  1. Press the Home key.
  2. Locate and select the Settings option.
  3. Select Basic, and then select Preferences.
  4. Scroll down to locate and select Default Transfer Type.
  5. Select your new default transfer method.
  6. Optionally you may return the the default display by pressing the Home key two or three times (depending on phone model).

Transfer Directly To Voicemail

Often a user will have the need to transfer a call directly to another user’s voicemail box.

On Polycom phones:

On Yealink phones:

To transfer a call directly to voicemail:

  1. While in a call, press and hole the Transfer key until the Blind option appears on the screen.
  2. Using the directional pad and center button, select the Blind option.
  3. Press the Star (*) key and then enter the desired extension.
  4. Depending on phone model you may need to press Transfer or Send to complete the transfer.

Blind Transfer

Blind Transfer is when a user transfers a call to another user without the intention of consulting with the recipient user prior to finalizing the transfer. Blind transfers are sometimes referred to as Cold Transfers and/or Unattended Transfers. In most office environments this is the second most common type of transfer behind attended transfers. The Polycom phones most often used by Ringfree customers offer blind transferring as a default transfer method, but this must be configured by the users on a per-phone basis.

To perform a blind transfer:

  1. While in a call, press and hold the Transfer key until the Blind option appears on the screen.
  2. Using the directional pad and center button, select the Blind option.
  3. Enter the desired extension number.
  4. Depending on phone model, press the Transfer key a second time or press the Send key.
